Job Summary

The Human Resources/Accounting Assistant will provide exceptional Customer Service with honesty and integrity to all internal and external Outdoor Cap customers.

Detailed Job Description

Human Resources

Accurately file all Personnel, Medical, I-9, 401k etc. paperwork at least weekly and according to policy. 
Prepare new hire Packets (FTR/Temp Seasonal); and Benefit Enrollment Packages
Schedule candidates for interviews
Process Offer letters, drug screens and background checks
Check HR box in 1200 building – twice a week
Check Suggestion boxes in 1200 and 1201 buildings once a month – week prior to Communications Meeting.  Scan suggestions and email to HR Manager
Distribute employee Medical, Dental, Vision, and H S A cards, W-2’s, and 1095’s.
Assist HR Coordinator with managing the Agency temps, and Seasonal Temps (new hire paperwork, data entry into ADP, etc)
Process E-verify of all new hires
Data Maintenance in HRIS system (updating schedules, timekeeper, data entry of new hires)
Assist with forms creation, maintenance and archiving
Distribution of tenure award gifts to employees and Supervisors
Maintain inventory of tenure award gifts, re-ordering gifts twice per year, coordinating with Embroidery to add logos.
Quarterly I-9 audits
Assist Manager and VP with administrative Payroll duties and data entry
Assist HR Team with Open Enrollment meetings (getting rooms booked, copying material, etc.)
Other projects as assigned


Act as back-up to Receptionist for vacations, sick, lunches, breaks or other times when the Receptionist may be away from the Front Desk.
Scan Accounting documents to be saved for digital back-up files
Support Accounting department with completion and submission of inbound and outbound credit application documents
Research and pull data to provide back-up and supporting data for audit requests
Act as back-up for processing inbound and outbound mail
Assist other areas of the Company with Administrative projects, as necessary.
Other projects as assigned

Skills and Competencies

Intermediate level skills using Microsoft Office (Word, Excel, Power Point, Outlook) required
Accurate data input, detail oriented and extremely organized
Demonstrates initiative and anticipates HR and Accounting Team’s needs
Highly collaborative and functions well in Team environment
Ability to maintain confidentiality with all communications, including but not limited to verbal and written information
Travel planning and arrangement for VP of HR, HR Manager, Accounting Manager.

Education:  Associate degree or higher       
Experience:  2 years of General Business Administration duties, preferably in a Human Resources and Accounting role
Supervisory:  None

Physical/Mental Requirements

Must be able to remain in a stationary position (seated) 80% of the day and occasionally walk to nearby facility and inside the office to access files.
Constantly operates a computer or other office machinery.
The person in this position frequently communicates with employees, Customers, vendors, and the general public, and must be able to exchange accurate information in a clear manner. 
Required to have close visual acuity to perform computer tasks.
Ability to lift 20 lbs. on an occasional basis
Ability to hear a telephone ring
Minimal local travel
